How to create a StreamYard On-Air webinar

  1. In the StreamYard Home page, select On-Air webinar.

  2. Select either “Studio” or “Pre-Recorded” as the source. Most choose the studio to go live, but if you've already recorded a video (on StreamYard or elsewhere) you can also upload that and stream it as if it were live.

  3. Add any additional destinations, if you'd like to multistream. This step is optional!
    Note: At this time, you can only connect to an existing LinkedIn Event through On-Air when you are first creating it. You cannot go back to an already created On-Air to add an existing LinkedIn Event.

  4. Enter your title/description and select the date and time. You can also choose to include a description for your webinar, but this is optional. 

  5. Choose the duration of your webinar using the dropdown menu. This will change how long the event appears when added to a viewer's calendar (not the actual duration of the event itself). If you are scheduling a pre-recorded video, the duration will automatically update to the closest available length to your video.

  6. Select your webinar preferences. These are optional. 
    • Registration - Viewers must register by entering their name and email. After registering, they will be sent a link to join the webinar via email and the option to add it to their Google, Outlook, or Apple Calendar. They can also download the calendar as an .ics file for custom calendars.
    • Upload thumbnail - You can upload a thumbnail image up to 1920x1080 in size and .png or .jpg format to accompany the holding page of your upcoming webinar. This will be used as the waiting screen when your webinar is about to start.

  7. Click “Create”! Your On-Air broadcast is now scheduled.

  8. (Optional) Click on "On-Air branding and settings" to customize your On-Air as well as enable or disable Live Chat and the Available on-demand. Learn more about customizing your On-Air here.

 

Duration Time

There is no limit to the length of a StreamYard On-Air webinar.
Even though, while setting up the webinar, you're asked to choose from a list of preset duration options, you can actually stream as long as you like. The duration only affects how long the event appears in viewers' calendars when added.
With that said, please note that the recording is limited to 10 hours (up to 24 hours on the Business plan).

🔍 What happens if the scheduled start time for my webinar passes and I haven't gone live yet?
A message will appear informing viewers that the stream will be starting soon.
If you have added an On-Air thumbnail, this message will overlay it.

 

Registration

Use our default registration form or add custom fields to collect registration information.
The registration page will translate to the language set in the attendee’s browser. If we do not support their language setting, emails will default to English.


Once you have created your On-Air broadcast and viewers have started registering for the webinar, you can view and manage the list of registrations.
This can be accessed by clicking “manage registrations” which is available both in the studio and from the StreamYard Home page, by clicking the 3 dots next to your upcoming webinar. To export this list, click "Export CSV" in the top right. You can also click the three dots next to a registrant to remove them.

The information that is displayed here will contain, the first and last name of the registrant, their email address, the date and time that they registered, and their attendee status. If you used custom registration fields, you can click on the three dots and select 'View details' to see more information. A breakdown of what each status means can be found below:

  • Registered: This person completed the registration process for the On-Air broadcast before, during, or after the webinar.
  • Attended live: This person registered, attended, and watched the broadcast for at least 30 seconds while it was live. This status will be shown only after the webinar has ended. 
  • Watched on-demand: This person registered and watched the recording after the broadcast ended for at least 30 seconds. 

It's important to note that if the viewer attended the webinar live, and then came back to watch on demand, the status will remain at ‘Attended live’. Additionally, if you do not enable registration for your on-air webinar, StreamYard will not record any analytics for the broadcast (ie. number of viewers).

Reminder Emails

Viewers who register for your webinar will receive:

    1. A confirmation email immediately upon registering
    2. A reminder email 24 hours before the stream (if they registered at least 24 hours and 15 minutes in advance)
    3. A reminder email 1 hour before the stream (if they registered at least 1 hour and 15 minutes in advance)

Emails will be sent in the language the attendee's browser was set to at the time of registration.
If we do not support their language setting, emails will default to English.


Automatic emails for StreamYard On-Air will appear as sent by StreamYard from yourfriends@onair.streamyard.com. While the body of the emails cannot currently be customized, you can update the color scheme and add your logo. Learn more about customizing your On-Air here.

🔔 Reminder emails can be easily turned off within your On-Air Settings section > Emails and toggling the Emails toggle in the off position as shown below:

🔍  Will reminder emails still be sent if I reschedule my On-Air?
Yes. If the newly rescheduled date/time is more than one day or one hour away, the respective reminder emails will be sent.
If the new time is within those windows, the corresponding reminder emails will not be sent.

Example: If you reschedule your webinar for 4 hours from now, the 24-hour reminder will not be sent, but the 1-hour reminder will still be sent.

🔍 Will registered attendees be notified if an On-Air broadcast is rescheduled or canceled?
Not automatically. You must manually notify them by email. You can quickly export registrants’ email addresses to do this.

 

Live Chat Feature

Viewers watching a webinar on StreamYard can engage via live chat, which opens 10 minutes before the scheduled start time and remains active for 10 minutes after the broadcast ends.
If registration is disabled, viewers will be required to enter their first and last names before joining the chat. However, once they have joined, they cannot change their commenting icon or name.

The chat experience varies depending on how the webinar is accessed.

  • If viewers watch an embedded webinar on a mobile device with a small screen, the chat window will be collapsed by default. To view the chat, the viewer must click the 'View Chat' icon in the top right corner.
  • If the webinar is not embedded and is hosted within StreamYard, the chat will appear immediately below the stage.

🔗 Hosts can share hyperlinks in the chat from within the studio by pinning them to the On-Air Chat, while guests and viewers do not.
Please note that links shared in the chat through the broadcast studio will not appear as clickable for you within the studio once pinned, but viewers of the webinar will be able to click on them and connect properly.

 

Recording and On-Demand Viewing

🔍 Can people watch the webinar after it is live?
You can enable the "Available on-demand" setting to allow attendees to view the webinar after it ends.
You can turn this setting off at any time if you don’t want the recording available anymore.
An email containing a link to watch the recording will be sent to attendees within 5 minutes after the webinar ends, provided registration and on-demand viewing are enabled.


🔍 Can I download a recording of my On-Air webinar?
You can download a recording of your on-air webinar from your library tab like you would any other StreamYard broadcast.

 

FAQs

🔍 Can we charge for admittance?
While StreamYard On-Air webinar does support registration, it doesn't provide a built-in way to collect payments. To add paid registration you can embed the StreamYard On-Air webinar on your site behind a paywall of some kind or follow the steps suggested in this article.

 

🔍 Is there an easy way for me to see how many people have registered for my On-Air?
You can view the registration count for your scheduled On-Air within the account's Home page or within the respective space if you are on the Business plan. In the example below, 4 people have registered.

If I stream my On-Air to other destinations, will they be registered?
No. Attendees are required to manually register on the registration page for your On-Air (if enabled) to be counted as a registrant. 

Can you use a re-useable studio with StreamYard on-air?

Unfortunately, StreamYard on-air does not support re-useable studios at this time. Only a single on-air webinar can go live in a broadcast studio.
